Policies & Guidelines

We invite you to read over the following policies and forms thoroughly before registering. It is your responsibility as a learner to familiarize yourself with the Faculty’s rules, regulations, admission requirements and deadlines, and comply with them. Please review CPL guidelines on registration, attendance, and other matters related to your course of study here.

The University of Toronto’s Privacy Policy as well as its Code of Behaviour on Academic Matters contain important information on your rights and responsibilities as a learner and member of the university community.

Policies and Guidelines

We accept registration and payment online by credit card. For more information about our course offerings, or to register for a course, please consult the “Program Areas” tab.

To register for a course, while on the course page, select the section of the course you wish to register for, or join the waitlist.

You will be prompted to log into the Learner Portal. Use the Forgot Username and Forgot Password functions if necessary. The Forgot Password reset link expires after 30 minutes, please use the forgot password function again if this occurs.

A welcome message from your facilitator will be sent to you by email, roughly 1-3 days before the beginning of the course.

Quercus is the University of Toronto’s name for our Learning Management System which is powered by Canvas. To access Quercus, you will require a credential called a QQ code. For each OISE CPL course you are registered for, you will receive a unique QQ code.

QQ code credentials will be emailed 1-2 calendar days before the course start date. If you registered less than three days or after the course start date, you will need to wait up to two calendar days to receive your QQ code credential. Access to Quercus will expire 2 weeks after the end date of your course.

Attendance in every OISE Continuing and Professional Learning course is mandatory. If you miss more than 10% of a course, you will have missed too much of the course to be able to make up the material. If an emergency arises that affects your attendance of the program, please inform the facilitator as soon as possible.

“Accommodation” refers to any service, equipment, or special arrangement that is put in place to support learners with a documented disability that affects their ability to function in an academic or practicum setting.

Although you may not foresee an immediate need for accommodation, your needs may change throughout your learning. Please contact OISE Continuing and Professional Learning at the time of registration or as soon as possible at oise.cpl@utoronto.ca with your accommodation request.

Honesty and fairness are considered fundamental values shared by learners, staff and facilitators at the University of Toronto. OISE Continuing and Professional Learning courses and programs follow the University’s policies and procedures that deal with cases of cheating and plagiarism are designed to protect the integrity of the institution. The Code of Behaviour and Academic Matters outlines the policies.

Effective August 1, 2024 our Transfer & Withdrawal policy has been updated and will apply to all courses and programs within the Fall 2024 term onwards. 

This policy outlines the withdrawal and transfer guidelines for all courses and programs offered within OISE Continuing & Professional Learning (OISE CPL). 

DEFINITION OF TERMS: 

Withdrawal: refers to the formal process by which a learner officially discontinues their enrollment in a specific course or program before its completion. The withdrawal process involves notifying the institution, completing any required paperwork, and adhering to specific deadlines. Depending on the timing and circumstances of the withdrawal, it may have financial implications and affect the learner’s academic record. Withdrawals may be categorized as: 

Voluntary Withdrawal: Initiated by the learner for personal, academic, or professional reasons, some withdrawals may qualify for refund based on deadlines noted below. 

Administrative Withdrawal: Initiated by the OISE CPL due to factors such as non-payment of fees, failure to meet academic standards, or disciplinary actions. 

Transfer: refers to the process by which a learner moves their enrollment from one course or program to another in a later term within OISE CPL. This process involves the transfer of course enrolment and fees paid to a to future course. 

Courses have specific registration or application deadlines and course start dates, which are located on the course page, and are noted on your confirmation of enrolment (sent via email upon registration).

Please review the details of the policy below. In addition to this we have provided a high-level summary: 

SUMMARY 

As you register for a course, please know that: 

  • Full refunds are only provided if you withdraw before the course start date. 
  • Partial refunds are provided if you withdraw shortly after the course start date. 
  • You can transfer to a future session of the same course once, within the same fiscal year (May 1 – April 30) 
  • Check the table (below) for specific deadlines for different types of courses.

WITHDRAWALS 

 100% of the course fee will be refunded if OISE CPL receives a written request from the registered learner before the applicable deadline listed below. Withdrawals for a refund will not be permitted after the noted deadlines.  

 Requests can be made by emailing oise.cpl@utoronto.ca 

WITHDRAWAL CONDITIONS: 

  • Failing to participate in any course-related activities does not constitute an official withdraw
  • Advising the facilitator that you will no longer participate in course related activities does not constitute an official withdrawal 
  • Course withdrawals are not permitted after the noted deadlines.  
  • Course withdrawals are subject to the removal of course access and the return of any course issued materials. 
  • All refunds (per deadlines stated below) must be returned to the original method of payment.
  • To support the administration of withdrawals, additional documentation may be required (e.g. medical documentation) 

TRANSFERS: 

One-time transfers to a future course will be processed if OISE CPL receives a written request from the registered learner by the applicable deadline. Requests can only be made by emailing oise.cpl@utoronto.ca   

 TRANSFER CONDITIONS: 

  1. Transfers can only be granted once following initial course registration, when requested during the transfer period. 
  2. Transfer requests are not permitted after the noted deadline below. 
  3. Transfers can be granted for courses offered in future terms within the same fiscal year (May 1 – April 30), provided the course to be transferred into is still open for registration and space is available at the time of transfer request.  
  4. Any difference in course fees must be paid to complete the transfer. If a refund is owed due to a withdrawal or transfer, the difference will be refunded to the original method of payment.
  5. Learners who have previously transferred or deferred participation in a course and have been given a one-time transfer are not eligible for any refund.

Refunds, withdrawals or transfers will not be permitted after the noted deadlines.  

 LATE REGISTRATION: 

Learners who enroll after the deadlines noted above do so at their own risk as withdrawals and refund conditions still apply. 

FAILING TO PARTICIPATE: 

If you fail to attend your course without officially withdrawing before the deadlines noted above, you will not receive a refund or transfer and a failing grade will be recorded on your grade report. 

If you fail to complete a proficiency test by the completion date without notifying OISE CPL in writing in advance, you will not receive a refund and the test will be marked as incomplete. 

If you fail to complete the IET Practicum during the scheduled session, you will not receive a refund or transfer. 

LATE WITHDRAWAL: 

After the deadlines listed above and before the half-way mark of an active course or practicum, learners may still request to be withdrawn from a course without academic penalty (i.e. a failing or incomplete grade). No refunds or transfers will be granted in this instance. 

OSAP FUNDING:

Learners who do not receive OSAP funding for the course they registered for, are held to the same conditions and deadlines noted in this policy.

In the event that the course you have selected is full, you may be able to place your name on a wait list. Wait lists are not available for every course. If a wait list is available, you will see it on the course webpage.
All courses are subject to sufficient registration. OISE Continuing and Professional Learning reserves the right to cancel or combine individual courses if minimum registration is not achieved. A full refund will be issued in the event of a cancellation.

The following participation expectations must be met from the start date to the end date of the course, which are noted on the course page at time of registration.

Time Commitment: ability to allocate a specific number of hours as outlined above for coursework including engagement in course materials, active participation in online discussion boards, group activities and assignments including meeting deadlines in the course schedule. 

Active Participation: engage with materials and assessments in alignment with module timing, which may include attending scheduled synchronous sessions. Communicate respectfully and constructively with peers. Reach out to instructors with questions or concerns in a timely manner.

Technical Requirements: Reliable internet connection and laptop or desktop with browser for accessing course materials and participating in course requirements. You will not be able to participate using your mobile phone.  

Some OISE Continuing and Professional courses are governed by external regulatory bodies (e.g. the Ontario College of Teachers Act, Ontario Regulation 184/97) and as such, admission requirements for courses cannot be altered or waived.

Learners are responsible for the following:

  • Knowing the rules, regulations, admission requirements and deadlines established by OISE Continuing and Professional Learning and for complying with them.
  • Learners who attend or complete a course for which they do not have the required prerequisite(s) and for which they have not been approved by OISE Continuing Professional Learning do so at their own risk.
  • Ensuring that they are enrolled in appropriate course(s) required to satisfy conditions, if any, set by external regulatory bodies (e.g. the Ontario College of Teachers Act, Ontario Regulation 184/97)
  • Checking the OISE Continuing and Professional Learning registration system for information on the status of their application (if applicable) and for keeping their current contact information up-to-date.
  • Paying the required course tuition fees and any outstanding obligations, (e.g., material fees).
